Academic Affairs Officer

ICFO is a research center located in the Mediterranean Technology Park in the metropolitan area of Barcelona, and currently hosts 400+ people, including researchers, PhD students and staff personnel. Today, in its area of specialization and category, the institute is consistently ranked among the highest-quality research institutions worldwide.

ICFO´s Academic Affairs team is responsible for development and implementation of high-quality education, training, mentoring and career development programs for students and researchers at ICFO, including: ICFO’s PhD program; ICFO’s participation in local Masters programs; the Plus+ training program for PhD students and postdocs; internship programs for undergraduate and masters students; monitoring and evaluation of training, supervision and mentoring of students; coordination of ICFO Schools and other educational events and activities; engagement with student chapters; development of joint programs and collaborations with partner institutions; development and implementation of relevant good practices and policies; chairing ICFO’s academic Committees.

We are currently looking for an Academic Affairs Officer, who will join our team reporting to the Head of Academic Affairs with the mission of leading the management of Academic Affairs and activities to maximize the quality of academic administration, career development and follow-up, ensuring the efficiency, transparency and clear communication of these processes, and proper functioning of monitoring, feedback from stakeholders, and reporting mechanisms.

The main responsibilities (although not exclusive) for this position are:

• Liaise with the corresponding ICFO units for establishing procedures in the area ensuring efficiency and proper exchange of information.
• Develop and maintain document procedures, information on the area and related documents
• Management of follow-up procedures for PhD Students and Postdoctoral Researchers.
• Keep track of PhD Students progress and timelines and identify specific needs to be reported to the mentor.
• Management of the PhD program in Photonics including all academic procedures, administrative tasks, reporting and quality control.
• Management of academic and logistic handlings related with Thesis Proposal and Thesis Defenses.
• Attend regular meetings with internal units as well as external stakeholders and coordinate actions in the scope.
